Building a Better Material Approval Record
A simple structure for repeatable sourcing decisions.
A material approval record is a traceable decision file connecting a sample, supporting data, the reviewer and the permitted next step. The record preserves the accepted scope, open questions and covered revision more reliably than an unstructured approval message.
Which fields create a traceable approval?
Traceability is the ability to reconstruct the decision from named evidence. MFE uses separate fields for identity, evidence and status so a later team member can see whether the record covers an image review, a parameter check or a production trial.

How should approval scope be written?
An approval scope is a sentence that defines what the decision permits. In practice, wording such as colour direction accepted for sampling is safer than approved, because the narrower statement does not imply that tensile, tolerance or production compatibility has already passed.

Why are version and source important?

What should happen after a failed or partial trial?
A partial result is a new record, not an edit that erases the earlier decision. In our experience, the useful response is to document the observed issue, affected sample, proposed change and retest condition before a replacement reference is introduced.
